The Trade Buyer's FAQ: Lead Times, Custom Specs, and Bulk Orders

Wholesale barrel furniture sourcing has a few recurring friction points that come up on nearly every trade conversation we have: trade pricing structure, minimum order quantities, realistic lead times, what is and isn't customizable, and how delivery and documentation work for commercial projects. This FAQ answers each directly, from our family workshop's actual practice instead of from a generic supplier playbook.

This is written for designers, hospitality buyers, distillery operators, retail wine and spirits accounts, real estate stagers, and other trade purchasers evaluating whether our workshop fits a current project. Trade-sourcing research published through the American Society of Interior Designers (ASID) consistently identifies lead-time accuracy and documentation completeness as the two largest predictors of whether a designer will reuse a custom or semi-custom furniture vendor. Credentialing guidance from the Council for Interior Design Qualification (NCIDQ) treats the same documentation set, spec sheets, COI, written quotes, lead-time confirmations, as professional practice baseline. Hospitality FF&E industry reporting from Hospitality Design magazine reinforces the same expectations on the commercial side. The answers below are written to that standard.

Does the workshop offer trade pricing?

Yes. Here's how: we offer project-based trade pricing instead of a published flat trade discount, with meaningful discount tiers at quantities of 5+, 10+, and 25+ pieces, and additional consideration for recurring trade relationships. We ask for a resale certificate or W-9 before issuing final trade pricing.

On pricing: we quote trade projects on the specific project instead of as a blanket percentage off retail. The reason: pricing on a multi-piece matched bar build-out involves different cost variables than a single custom cabinet for a residential client, and a flat percentage doesn't reflect either accurately. We quote each project in writing.

What is the minimum order quantity?

We don't set a minimum for catalog pieces ordered individually. Quick version: trade buyers can order a single catalog piece and still receive standard catalog pricing with the bonus of direct workshop communication. For custom branded runs, our minimum is 10 units across most categories.

On multi-piece projects (matched sets, hospitality build-outs, branded gift runs), we ask for minimum order quantities tied to the specific category, typically 10 units for branded stave items, 4+ pieces for matched residential sets, and project-specific minimums for hospitality work.

What are realistic lead times?

Lead time depends on the build. Quick version: stock catalog pieces ship in 1 to 2 weeks; custom dimensional changes take 3 to 4 weeks; fully custom builds take 4 to 6 weeks; matched sets of 4 or more pieces take 6 to 10 weeks; full hospitality build-outs take 8 to 12 weeks.

Our hit rate on these lead times more than 90 percent of the time. When we slip, it's usually by a week or two on the long side, usually because spar varnish needed extra drying time in a humid week or because custom hardware arrived late from a supplier. When a piece runs late, we reach out before you ask, we don't let a trade buyer find out by missed delivery.

If your project is schedule-critical, the right move is to order at the design development stage instead of at construction documents. The wood waits for the project. It doesn't need to be installed last.

Can dimensions be modified on a catalog piece?

Yes, up to a point. Quick version: a catalog cabinet, table, chair, or wall piece can be modified in height, width, depth, or seat dimension by up to 20 to 30 percent without compromising structural integrity. Modifications beyond that range typically require redesigning the piece instead of adjusting it.

Common dimensional modifications:

  • A taller bar cabinet for a counter-height installation
  • A wider barrel-head dining table for larger seating capacity
  • A Captain's Chair built to a specific seat height for ADA-style accessibility
  • A bar plaque cut to a non-standard length for a specific wall opening

Dimensional changes add 1 to 2 weeks to the standard lead time and are quoted in advance.

Can branding, engraving, or custom artwork be added?

Yes. Here's how: laser engraving and wood burning are both available on most stave and barrel-head surfaces, working from vector artwork supplied by the client or from typed text typeset by our team. Engraving adds 1 to 2 weeks to lead time and is included at no surcharge for most standard mark sizes.

Artwork: we accept .ai.eps.svg, or high-resolution .png artwork. For typed text dedications, our team typesets in a serif face that suits the wood unless the client specifies a different font. Proofing is included, we send a digital proof for client approval before any cutting begins.

Complex multi-element engraving (large logos, multi-line dedications, intricate vector work) may carry a modest surcharge that we quote in advance.

Is white-glove delivery available?

Yes, when projects clear a certain size. Quick version: standard ground shipping is included free of charge on every U.S. order; white-glove delivery (inside placement, debris removal, basic assembly where applicable) is available on hospitality projects, matched sets above $3,500, and trade projects on request. White-glove rates are quoted per project based on destination.

On residential single-piece orders, standard freight or parcel shipping is included. Pieces ship crated for items above a certain size threshold; smaller pieces (coasters, mini stave bottle holders, wall plaques) ship in standard parcel packaging.

We don't currently offer international shipping. For trade clients with U.S. distribution who will forward shipments internationally, we ship to the U.S. destination and the client handles onward freight.

What is the returns policy for trade orders?

Custom orders are non-returnable. Quick version: stock catalog items are returnable per our standard terms within 30 days, in original condition and packaging, with return shipping borne by the buyer; custom-built, custom-engraved, or custom-finished pieces are non-returnable except in the case of workshop error or shipping damage.

Workshop error and shipping damage are handled the same way: we replace or repair the piece at no cost, including return freight. We document this clearly in every trade quote and order confirmation.

Do you provide a COI (Certificate of Insurance)?

Yes, when trade projects need it. Quick version: we can provide a Certificate of Insurance naming the trade buyer or project owner as additionally insured for delivery and installation events, with standard general liability coverage. Lead time on COI issuance is 3 to 5 business days through our broker.

If you are doing hospitality build-outs, designer-led residential installations, and any project requiring documentation for property management or general contractor coordination, the COI request should be submitted at the project quote stage so we can include it in the delivery timeline.

What are the payment terms for trade orders?

Standard trade payment terms are 50 percent deposit on order confirmation and 50 percent on completion before shipping. Quick version: for orders above $5,000 we can extend to 30 percent deposit, 40 percent at midpoint, and 30 percent before shipping by arrangement; for established trade accounts with successful prior orders, we have offered net-30 terms on individual orders by exception.

Payments: we take ACH, wire transfer, business check, and major credit cards. Credit card processing carries a 3 percent surcharge on orders above $1,000.

We don't require deposit on stock catalog orders under $1,000, those can be paid in full at order placement.

Can multiple pieces be matched for visual consistency?

Yes, with planning. Quick version: matched sets of 4 or more pieces are built using staves and barrel heads from a small batch of related barrels of similar age, source, and char depth, ensuring color and grain consistency across the set. Matched-set builds carry the longer 6 to 10 week lead time because the matching is done by hand at the barrel selection stage.

If you are a trade client planning a hospitality build-out or a multi-room residential project where consistency across pieces is essential, the conversation should start at project planning instead of at order placement. We can reserve a batch of related barrels to your project and confirm visual consistency before any building begins.

Can we visit the workshop?

We don't currently host public workshop visits, but we do accommodate scheduled trade visits by appointment for active project clients. Quick version: a workshop visit can be arranged for trade buyers actively quoting a project above a certain scale, with notice of 2 to 3 weeks; we can't host walk-ins or general public tours.
